Clear takeaways
- AI tools are starting to ask for your voice, not just your text. Treat every "Allow" prompt on a work phone as a data decision, not a pop-up.
- The useful Copilot features this month are document plumbing: splitting PDFs, explaining version changes, emailing a report. Boring, and that is where the hours are.
- A quiet weekend is a good time to check settings rather than chase launches. Nothing this weekend needs a new tool.
Do this now
- Ask everyone who uses Claude on their phone or laptop for work to open Settings, then Privacy, and confirm "Allow us to use your voice data" is off. Two minutes each.
- Add one line to your AI use policy, or start one: "Do not allow any AI tool to use voice recordings or chats for training on a work account." Give it to new starters with their phone.
- If you are on Microsoft 365 Copilot, ask whoever looks after it whether Copilot in SharePoint has reached your tenant yet. If it has, try one real job: open a long PDF in a library and ask Copilot to split it into sections for two reviewers.
- Count how many multi-page PDF packs your firm assembled last month and roughly how long each took. That number is what the SharePoint change is worth to you, and zero if your documents live elsewhere.
- Google Workspace users: skills (saved instructions that replace Gems) start rolling out today, 5 October, finishing by mid-November. No action needed yet beyond the list of Gems you made after the 1 October briefing.
