Gmail's AI Inbox turns your threads into a to-do list, with no way for an admin to turn it off
Posted 15 October 2026
Google announced on its Workspace Updates blog on 15 October that Gmail's AI Inbox is rolling out to paid Workspace users. It has two parts: "Suggested to-dos", which pulls action items, deliverables and deadlines out of email threads, and "Topics to catch up on", which summarises key topics across long or fast-moving threads, including recent decisions and status changes.
It covers Business Starter, Standard and Plus, Enterprise Starter, Standard and Plus, AI Pro for Education, and Frontline Plus editions. Google's own post is inconsistent about Starter and Education editions, saying separately that they get the feature "in the coming months", so check with your own admin rather than assuming.
The rollout started on 12 October for Rapid Release domains and starts on 26 October for Scheduled Release domains, and takes up to 15 days to become visible once it starts. The one line worth noting twice: "There is no admin control for this feature." And for now, Google says it is "currently only available to users in the US with EN-US as their language", with no UK date given.
Gmail Live lets you talk to your inbox and hear it talk back, also US-only

The same day, Google announced Gmail Live is rolling out to paid Workspace users: a voice search feature for Gmail on Android and iOS. Tap the Live icon in Gmail's search bar, ask a question about your inbox out loud, and Gemini answers it aloud too, with a source card showing which email the answer came from so you can check it. You can keep asking follow-up questions without restarting, and choose which voice reads the answers back.
It is on by default for organisations that already have Gemini in Workspace access, and covers a wide range of editions: Business Starter, Standard and Plus, Enterprise Starter, Standard and Plus, Frontline Plus, Workspace for Nonprofits, the Gemini Business, Gemini Enterprise, AI Expanded Access and AI Ultra add-ons, the Education add-on, and consumer Google AI Plus, Pro and Ultra. Rollout starts 15 October 2026 for both Rapid and Scheduled Release domains, again taking up to 15 days to reach everyone.
Like AI Inbox, it is "currently only available to users in the US with EN-US as their language". Google's post says nothing about how long voice transcripts are kept, beyond noting the source card lets you check the answer against the original email.
Clear takeaways
- Google is pushing two Gemini features straight into Gmail (an automatic to-do list and voice search), but both are US-only for now, so test your assumptions before you plan around either.
- One of them, AI Inbox, has no admin control at all. When it reaches the UK, "can we turn it off" is the first question for your IT person, not "should we turn it on".
- Gmail Live's source-card design, every spoken answer linked back to the original email, is the right instinct for any AI summary tool: verify against the source before you act.
Do this now
- If anyone in your team has a personal US Google account, or sets their language to US English, they may see these features before your UK Workspace does. Ask them to report back what it's actually like before you plan around it.
- If you're on Google Workspace, ask whoever administers it to check your edition against the list above (Business Starter/Standard/Plus, Enterprise, Frontline Plus) so you know whether you're in scope when the UK rollout starts.
- Write one line into your AI policy now, ahead of the UK rollout: "An AI-built to-do list or voice answer is a draft. Check the source email before acting on a date, deadline or figure it surfaces."
- Put a reminder in your diary to check the Google Workspace Updates blog again in four weeks for a UK or EN-GB date on either feature.
- In the meantime, if a to-do-list-from-email feature would genuinely help your business, ask your current email or CRM supplier whether they already offer something similar you could use today, rather than waiting on Google's UK timeline.
